Team Mom Contract

This contract is intended to outline the responsibilities and expectations for the individual taking on the role of Team Mom for the 2025 football season. By signing below, you acknowledge your commitment to supporting the team and the organization in a positive and organized manner.

1. General Responsibilities

As the Team Mom, I agree to assist the team’s coaches and players with the following tasks:

• Act as a liaison between parents, coaches, and the league.

• Coordinate communication regarding game schedules, practice schedules, and team events.

• Organize volunteer efforts for home games, including snack schedules, setting up and cleaning up after games, and other team activities.

• Coordinate team events such as parties, banquets, and celebrations.

• Ensure all parents are informed about league rules, schedules, and other important announcements.

• Assist with fundraising efforts for the team (if applicable).

2. Communication and Coordination

I will maintain regular communication with the head coach and assistant coaches to ensure I have up-to-date information regarding team events. I will send out emails or text messages to all parents/guardians with necessary information about game schedules, practice times, and other team-related matters. I will act as a point of contact for parents in case they have questions or concerns.

3. Volunteer Management

I will help coordinate volunteers for team activities, such as snack duty, transportation arrangements, and fundraising. I will create a volunteer schedule and ensure that parents are informed of their responsibilities.

4. Event Planning and Team Support

I will assist in organizing team bonding activities, including end-of-season parties, award ceremonies, and other special events. I will ensure that the team has necessary materials such as trophies, medals, or awards for the end of the season. I will assist in gathering donations or coordinating food for post-game snacks or other team functions.

5. Conflict Resolution

I will handle minor concerns and conflicts between parents or players in a respectful and professional manner, referring serious matters to the coaches or the Executive Board of Directors as needed. I will work to foster a positive environment for the players, coaches, and parents, supporting the values of good sportsmanship and teamwork.

6. Time Commitment

I understand that the Team Mom role will require a significant time commitment, including attending team practices, games, and events, as well as frequent communication with parents and coaches. I agree to dedicate the necessary time and effort to fulfill my responsibilities as Team Mom.

7. Confidentiality and Respect

I will respect the confidentiality of any sensitive information related to the team or its players. I will maintain a positive and respectful attitude toward coaches, players, parents, and other team members.

8. Liability

I acknowledge that I am volunteering my time and that I will not be compensated for my role as Team Mom. I understand that I am acting in accordance with the BCYF’s policies and will adhere to all rules and regulations while performing my duties.

9. Banking

As the Team Mom, I agree to maintain an accurate and up-to-date team ledger, ensuring it is readily available to provide to parents upon request. I will keep all receipts for team-related purchases and provide the completed ledger, along with all receipts, to the executive board at the end of the season. I understand that I am responsible for covering any transactions from the team account for which I cannot provide a valid receipt. Additionally, in the event the team account is overdrawn, I agree to cover all fees associated with the overdraft. By signing this agreement, I acknowledge and accept these responsibilities.

By signing this contract, the Team Mom agrees to perform all responsibilities to the best of their ability, acting as an essential support system for the team, coaches, and the league while creating a positive and organized experience for everyone involved.
